How to reply to a negative review
Five moves, in order. The goal is the next customer reading the thread, not winning an argument.
Thank them and stay calm
Open with a short thank-you and no defensiveness. A calm first line reads better to every future customer than a point-by-point rebuttal.
Answer the specific point
If the review names a real problem, address that exact problem in one sentence. Skip the things they did not raise.
Take the details offline
Invite them to continue by phone or in person, worded generically. Do not trade specifics or personal information in public.
Do not admit fault or promise money
Stick to what you know. Do not accept liability or offer a refund unless you have already decided to, and never give medical or legal advice.
Keep it short and future-facing
Two or three sentences is enough. End on the next step or the standard you hold, not on a defense of what went wrong.

Say thanks and echo the detail
Thank the reviewer for the kind words and, if the review names a specific person or detail, repeat that detail back.
Mention the thing they liked
Name the service or product they called out. It tells readers the praise was heard and reinforces the word you want to be known for.
Leave a quiet next step
End with an easy invitation to come back, nothing pushy. A short, warm reply is enough.
